Walk Coordinator 2025: May Newsletter!

Hey there Friend,

Walk Day is quickly approaching and we are gearing up for a day filled with celebrations! You are almost there, and we cannot thank you enough for all the dedication you have put in these past few months. Please ensure that your day of information on the Crowd Change website is up to date for your participants.

MAY FINANCE TRAINING SESSION

Please find a recording of the finance training session below along with the link to the Finance Training PowerPoint which can be printed and followed along to ensure proper completion of sending in your Walk Day forms.

Possibly Postal Strike - Finance Package Mailing - In the case of a postal strike in effect, please ship back your finance package (including forms, pledge forms and cheques) at your closest UPS, Purolator or FedEx store on the Monday following Walk Day. Please keep your receipt of payment and submit a reimbursement form to be reimbursed for the expense. If no postal strike, please drop your Canada Post pre-paid envelope in the mailbox at the end of the day following your Walk.

For those who ordered POS Machines, please read the guide provided in your Finance Training package for instructions on using the machines for Walk Day. Login information can be found in the guide. Please make sure that your machines are working this weekend!

Please ensure you use this as your base, as we have wording around our national sponsors, and advocacy work that is important to share.

Certificates to Print

Celebrate your top fundraisers, your top teams and any sponsors you have coming on site with our certificates for you to fill in and print.

Please print and share on site if you are looking for potential committee members or a replacement for Walk Coordinator next year.

Registration Reports: Coming Saturday May 24 for all!

We will send you a copy of your registration report with all of the up-to-date numbers on Saturday May 24. It will be formatted easily so you can check people in easily.

Please note that if you are pulling registration reports manually, your numbers only reflect the adults that are coming onsite. In the registration process, there is a custom question that is asked “Are you bringing any children with you that are 12 years old and under”. This question shows up in the registration report in one of the last columns.

Please also note you may have children 12 and under who have registered their own fundraising page. You can see this by looking at our custom question “Please select your age range”.

Please make sure if you are trying to count numbers, you need to go look at how many children are coming with adults. For any questions, please reach out to [email protected].

WALK DAY VOLUNTEERS

Please have ALL day of volunteers complete the volunteer application form prior to Walk Day. This includes their emergency contact information and has them agree to all of the policies to volunteer on site. You will be informed of volunteers who complete the survey and their answers.

The Day of Volunteer tools for recruiting, planning and organizing your volunteers for event day have all been added to the Walk Coordinator Resources page.

Multiple resources including social posts, training and schedule templates have been added.

WALK LOGISTICS EMAIL - TEMPLATE

Sending a day of logistics email before Walk Day is incredibly important for your participants to know all the details ahead of time and can ask any questions.

You will need to:

Pull a registration report of your registered participants around May 19 - May 21.

Edit the logistics email template to include all the specific information to your Walk.

Send email to all registered participants on May 19 - May 21.

You will want to make sure you send to any last-minute registrants who register in the days right before Walk Day.

ROSE BASEBALL HAT COLLECTING

Your participants who qualified to receive a rose baseball hat on Walk Day will be notified via email from the Walk Inbox to pick up their hats on Walk Day.

Please download a copy of the report and filter by your Walk location. These names will also be marked in the registration report as well to indicate they will be receiving a hat.

FINAL ITEMS

If you have not received your collateral package order, please contact the Walk inbox and let us know so we can track your shipment.

We are sending you the best of luck before Walk Day! Please know that our Walk inbox becomes incredibly full in the next week with questions from participants, donors and Walk Coordinators. Please make sure that you are flagging any questions you may have in the next few days as response times will be longer in the days leading up to Walk.

Note: As I am running a Community Walk as a volunteer like yourself, I will have limited availability to respond to questions on Saturday May 24^th or Sunday May 25^th! Please write to the Walk inbox and another member of my team will help with the situation if an emergency.
